Your First Week

Treat your AI assistant like a new employee. Start with simple, verifiable tasks. Build trust through small wins. Each meeting builds on the last.

“You wouldn’t send your new hire to a conference in Vegas with your credit card, your Ferrari, and your daughter — don’t do that with your AI assistant, either. Build trust through small wins first.”

Start with simple, verifiable tasks. As you build trust together, give your AI assistant more complex tasks, more information, and more freedom to deliver.

Meeting by Meeting

Five meetings to a working relationship with your AI assistant. Go at your own pace — some people do two meetings in a day, others spread them across a week.

Meeting 1

The Introduction

Get connected and make sure everything works.

Choose a name for your AI assistant and describe their personality

Choose from five presets or write your own description

Give your AI assistant their own e-mail address and connect your first messaging platform

Telegram, Slack, or email — whichever you use most

Send your first message: “Hi, what can you do?”

Ask a simple question to verify it works

“What day of the week is March 15?”

Give a simple task

“Remind me to call the dentist tomorrow at 9am”

Meeting 2

Teach It Your Voice

Your AI assistant should sound like you, not like a robot.

Message your AI assistant to let them know you’re sending a bunch of Sent Items to their e-mail

“Learn my writing style — my tone, greetings, sign-offs, how formal or casual I am, how long my e-mails typically are”

Test it: ask for a draft email

“Draft a short email to a client thanking them for a meeting yesterday”

Correct it when it doesn’t sound right

“I wouldn’t say it that way — I’d say...” (the AI assistant learns from corrections)

Test again and compare

It should sound more like you now

Meeting 3

Start Working Together

Give it tasks you can easily verify.

E-mail your rate sheet to your AI assistant

Tell them to save this rate sheet for future quotes and invoices.

Forward the contacts you want your AI assistant to be aware of

Ask your AI assistant to summarize something

Meeting notes, an article, a long email thread

Set up your daily briefing schedule

“Every morning at 7:30, give me a 30-second rundown of what’s on my plate”

Meeting 4

The First Real Task

Supervised, with you reviewing before anything goes out.

Have it draft an email and review before sending

Set a follow-up reminder for a client or prospect

Ask it to create a document from a voice message

Try a supervised invoice

“Draft an invoice for the Henderson account — 2 hours consulting and 3 widgets. Use my rate sheet. Calculate Carlsbad CA tax. Show me before you send.”

Meeting 5+

Build Trust, Build Value

This is where the real value kicks in.

Set up the weekly review

“Every Friday at 4pm, walk me through what happened this week”

Add a renewal or deadline to track

Insurance, license, contract end date — things that only matter twice a year

Try a multi-step task

“Draft an invoice for today’s work with the Henderson account, calculate tax for Carlsbad CA, and email it to their billing contact”

Let it handle follow-ups on its own

Start with low-stakes: “Follow up with any client who hasn’t responded in 3 business days”

Best Practices

Tips from our most successful customers. Set these up early and your AI assistant will hit the ground running.

Give your AI assistant their own email address

Set up a dedicated email like rose@yourcompany.com. Your AI assistant monitors it via IMAP and can send emails on your behalf. Keeps assistant communication separate from your personal inbox.

Forward emails to teach your style

Send emails to your AI assistant’s messaging channel or forward directly. Your AI assistant strips out the forwarding headers and learns from the content. Start with 50–200 sent emails for the best results.

Keep your rate sheet current

Just tell your AI assistant: “My hourly rate is $150. Widgets cost $45 each. Thingamabobs are $120.” It will build and maintain the rate sheet for you. Update it anytime by telling your AI assistant the new prices.

Set templates early

Forward your existing invoice template, email signature, or letterhead to your AI assistant. Say: “This is my invoice template — use it for all future invoices.” The earlier you set templates, the more consistent your output will be.

Teach It to Write in Your Voice

Your AI assistant writes emails in your voice — not in robot-speak. No OAuth, no account access required. Just forward some emails and let it learn.

1

Forward your sent emails

Select 100–200 emails from your Sent folder that represent your typical writing style. Forward them to your AI assistant through Telegram, Slack, or email.

2

Assistant analyzes your patterns

Your AI assistant extracts your greeting style, sign-off conventions, tone markers, sentence length, vocabulary, and how you handle different types of emails.

3

Style guide is stored

The analysis is saved to your AI assistant’s memory. The raw emails are not retained — only the learned patterns. Your privacy is protected by design.

4

Refine through feedback

When your AI assistant drafts emails, review and correct them. Each correction further refines the style model. Within a week, it should sound like you.

Privacy by design

Your AI assistant stores the analysis — patterns, phrasing examples, style markers — not the full text of your forwarded emails. The training data is not retained, only the learned style.

Why forwarding works better than giving full account access

You control exactly which emails the AI assistant sees — no access to sensitive threads

No OAuth setup or credential management required for the training phase

Works through the messaging channel you already have connected

Your AI assistant can start learning immediately — meeting 2 of your relationship

Corrections via chat are a natural, low-friction feedback loop

After the First Week

By the end of week one, you have a working AI assistant that knows your communication style, has your contacts and rate sheet, and is delivering a daily briefing every morning. Now the real value starts — invoices, follow-ups, and renewals running on autopilot.
